Datframe (“Company”, “we”, “our”) is committed to protecting the privacy of visitors and clients. This Privacy Policy explains how we collect, use, disclose, and protect personal information in accordance with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA), Alberta’s Personal Information Protection Act (PIPA), and Quebec’s Law 25.

1. Scope: This policy applies to information collected through our corporate website, blog, portfolio, and “Get in Touch” forms. It does not apply to information collected during customer onboarding or through service delivery, which may be subject to separate agreements.

 

2. Information We Collect When you interact with our website, we may collect: Company name, Contact person’s name, Email address, Phone number (optional) General location (based on IP, for analytics) We do not collect sensitive information (such as financial or health data) through the website. Sensitive data may only be collected as part of customer onboarding under separate agreements.

 

3. How We Collect Information: Personal information is collected directly from you when you submit our Get in Touch form or contact us by email or phone. Limited non-identifiable technical data (such as country of origin via IP address) may be collected for analytics and security purposes.

 

4. Purpose of Collection and Use: We collect and use personal information for the following purposes: Responding to business inquiries and providing requested information, Customer service and follow-up communication, Internal business development, and marketing (with appropriate consent)Analytics to improve website performance and user experience.  Product and service inquiries operating our AI website assistant (providing non-binding guidance only)

 

5. Marketing & Communications.  We may use contact information for future marketing or advertising purposes. We will not share your information with partners or third parties for marketing unless you provide explicit consent. You may opt out of receiving promotional communications at any time by contacting us.

 

6. Disclosure and Sharing: We do not sell or trade personal information. We do not share personal information with third parties except as required for internal business operations (such as CRM and billing software).  Personal information is not transferred outside Canada, except where necessary for email communications.

 

7. Data Retention: We retain personal information only as long as necessary to fulfill the purposes described above, or as required by law. Once information is no longer required, it will be securely deleted or anonymized.

 

8. Security: We apply industry-standard safeguards to protect personal information, including: Data encryption, Firewalls and intrusion prevention systems, Physical and virtual access controls, Multi-factor authentication, Limited internal access based on business need

 

9. Your Rights: Under Canadian privacy law, individuals have the right to: Access their personal information Request corrections to inaccurate or incomplete information Request deletion of their personal information (within reasonable timelines and subject to legal requirements)To exercise these rights, contact our Privacy Office (see Section 11).

 

10. Cookies & Tracking: We do not use cookies at this time. We may use limited tracking technologies such as IP-based country identification for analytics and website performance monitoring.

12. Quebec Compliance (Law 25): For residents of Quebec, Datframe complies with Law 25 requirements, including: Designating a Privacy Officer (see contact above)Notifying affected individuals and authorities in case of a privacy breach presenting a risk of serious harm.  Ensuring transparency in the use of personal data and any automated decision systems (none are used for binding decisions)

 

13. Changes to This Policy: We may update this Privacy Policy from time to time. Any changes will be posted on this page with the revised “Last Updated” date.

14. Language: This Privacy Policy is available in English and French. In the event of discrepancies, the French version will prevail for Quebec residents.
